How it works

Business Brain is installed for one business, yours, on your own instance in a local data centre. It's built to be useful from day one, and it starts with a conversation in which you do the talking.

Day one: your instance

Your Business Brain is installed in a data centre in your region, set up for your business alone. Nobody else’s data on it, nobody else’s users in it. Its AI connection is live from the first moment, so there’s nothing to build and nothing to wait for.

The onboarding conversation

This is the part to get right. If you’re used to AI chat tools, where you ask questions and get answers, put that aside. Onboarding runs the other way: Alex, your onboarding instance, asks about your business, and you answer. Who does what, where things are kept, what only exists in someone’s head.

It takes between fifteen minutes and an hour on average. It’s the first time you deal with your Business Brain and the most important hour you’ll spend with it, because everything after is built on what you tell Alex here. The fuller your answers, the better start your Business Brain gets.

What you get back

By the end, Alex has produced a full plan of your business: every area, who holds the knowledge for it, and where it lives today, whether that’s a system, a shared drive, an inbox, or nowhere but someone’s head. Few businesses have ever seen that on one page.

The AI inside

Your Business Brain runs on AI you provide, through your own account with the provider. By default that’s Anthropic’s Claude. It can be fitted to a full range of other providers; if you’d rather use one of those, say so when you order and it’s set up that way from the start. Your knowledge isn’t married to any of them.

Your team

Business Brain is only as useful as the people using it, and people need a little time to get comfortable. There’s always someone who takes to it straight away. Encourage them to show the others. Nobody’s job changes on day one, and every real question feeds the knowledge base.

Then Ability

As soon as onboarding is complete and your staff are set up, you can switch on Ability: the tools that do work rather than only answer. Your call, one tool at a time. The Brain proposes, and a person decides.

Who looks after it

Updates and backups are handled inside Business Brain itself. When you want help, it comes from us or from the web design or media agency you already deal with. And privacy comes first: one isolation switch removes us and your agency completely. Open access when you need a hand, and close it again whenever you want.
