Acceptable Use Policy

This policy applies to everyone who uses a Business Brain instance. It forms part of the Service Terms, and the client is responsible for making sure their own users follow it.

It is deliberately short. We are not trying to police what you do with your own Brain — it is your knowledge, on your instance, and clause 6.1 of the Service Terms says it is yours. This policy exists for the small number of things that would harm someone else, break the law, or damage the platform.

1. Do not use Business Brain to break the law

You must not use the service to store, process or distribute anything that is unlawful in the place you are, or to do anything unlawful with it. That includes material that infringes someone else’s intellectual property or confidence.

2. Do not put other people’s data where you have no right to put it

You must have the right to place personal data on your instance, and to instruct us to process it. This is the one obligation in this policy that protects a third party rather than us, and it is also warranted at clause 8.2 of the Service Terms.

3. Do not attack the platform

You must not attempt to gain access to any part of the service you have not been given access to, to another client’s instance, or to our own systems; probe, scan or test our security without our written agreement; interfere with the service’s operation; or introduce malicious code.

If you find a security flaw, tell us through the policy enquiry form, choosing Security report as the subject. We will not pursue anyone who reports a genuine flaw to us in good faith, gives us a reasonable chance to fix it, and does not exploit it or disclose it publicly in the meantime.

4. Do not misuse the AI features

4.1 Business Brain’s AI features answer questions from the knowledge you put into it. You must not use them to generate material that is unlawful, that harasses or defames someone, or that is designed to deceive a person into believing it came from someone else.

4.2 You must not present AI-generated output as reviewed human work where doing so would mislead someone who is entitled to know the difference. How we ourselves handle that is set out in our own AI disclosure rule.

4.3 You must not attempt to extract, copy or reconstruct the underlying models, or use the service to develop a competing product.

5. Do not resell it

Your licence is for your own business. You must not resell the service, make it available to a third party, or use it to provide a service to others, except where your agreement with us expressly permits it — as a partner agreement does.

6. Use a fair share

The service is provided on a dedicated instance sized for ordinary business use. If your usage is so far outside that as to affect the instance’s stability, we will talk to you about it and agree either a change of sizing or a change of usage. We will not throttle you without speaking to you first.

7. If this policy is breached

7.1 We will tell you, and we will talk to you first. Our first step in every case short of an emergency is written notice describing what we have seen and what needs to change, and a reasonable opportunity to put it right.

7.2 Where a breach is serious, ongoing and causing harm to a third party, to another client or to the platform — or where the law requires us to act immediately — we may act first and tell you at once. We will do the least that stops the harm, and we will restore normal service as soon as it has stopped.

7.3 What we will not do. We will not use this policy to withhold your access to your own data or your Export facility, and we will not use it as a route around clause 5.4 of the Service Terms. A dispute about acceptable use is not a reason to hold your data.

8. Changes

We may update this policy. If we make a change that materially restricts what you may do, we will give you 30 days’ notice first.
